Managing Shipments

In opentaps managing shipments, both outgoing and incoming, is handled in the Shipping Tab. To access these functions navigate from the Main Navigation screen as follows:

* Click: Warehouse Icon > Shipping Tab > [Outgoing Shipments] button, 
  or [Incoming Shipments] button.

Outgoing Shipments

The Outgoing Shipments screen provides a table of all outgoing shipments by default, but search fields are provided to narrow the table listing according to these parameters: Shipment Id, Shipment Type, To Party, Status, or Lot Id.

* Choose the table search criteria and, Click [Lookup Shipments].
* The table opens displaying four columns each of which can be sorted by clicking on the column heading:
     Shipment Id  	 
     To Party  	 
     Ship-To Address  	 
     Status
* Click: Shipment_ID to open the View Shipment Screen. Refer to this page for details.
* The following actions can be taken from the View Shipment Screen:
**  Click: [Edit] in the "Shipment Information" bar to change shipment status, and 
    other basic information.
**  Click: [Bar Code] to print the shipment identification bar code.
**  Click: [Packing Slip] to print the shipment packing slip.
* Click: [Edit] in the "Items" bar to change shipment item contents.  
  The order items can be modified as discussed in Edit Shipment Items Screen

Complete A Shipment Manually

When you schedule your shipments manually, and have shipped the packed order you can update the status to "Shipped". Then when the order is delivered, you can update the status of the shipment to "Delivered, as follows:

* Click: Shipment_ID to open the View Shipment Screen. Refer to this page for details.
* The following actions can be taken from the View Shipment Screen:
**  Click: [Edit] in the "Shipment Information" bar to change shipment status from 
    Packed to Shipped, or from Shipped to Delivered, one step at a time. 

Using Automated Scheduling for Shipments

When you are using automated carrier scheduling for your shipments you can use either of the following buttons to proceed with scheduling orders that are ready for the carrier to pick up:

Note: These scheduling functions require two things to enable them:

  • The opentaps setup must be completed, refer to Automated Shipping Setup.
  • It will only work with shipping carriers for which electronic shipment confirmation is available. Currently this includes UPS, FedEx, and DHL which are supported in opentaps.

Incoming Shipments

The Incoming Shipments screen provides a table of all incoming shipments by default, but search fields are provided to narrow the table listing according to these parameters: Shipment Id, From Party, and Status.

* Choose the table search criteria and, Click [Lookup Shipments].
* The table opens displaying four columns each of which can be sorted by clicking on the column heading:
     Shipment Id  	 
     From Party  	   	 
     Status
* Click: Shipment_ID to open the View Shipment Screen. Refer to the View Shipment Screen page for details.
* The following actions can be taken from the View Shipment Screen:
**  Click: [Edit] in the "Shipment Information" bar to change shipment status, and 
    other basic information.
* Click: [Edit] in the "Items" bar to change shipment item contents.  
  The order items can be modified as discussed in Edit Shipment Items Screen
